Q. How do I update PressRelease?
A. Simply select "Update" from the file menu:
Once the Update window opens, you can choose to update the software or update the media database (run one at a time). If any updates are available, just follow the instructions during the update installation to get the latest version.
Q. What kind of pre-written templates are included?
A. The layout categories in PressRelease include announcements, company expansions, new employees, new products, new services, new updates, new restaurants, company relocation, employee promotion, fundraising, sponsorships, and generic templates. Each category includes both HTML based templates (for visually stunning releases) and Plain Text based templates (simple text based emails that all email clients help). The HTML based templates also feature left justified and center justified emails.
Q. How easy is it to change the templates so that my information shows up instead of the sample text?
A. PressRelease makes it incredibly easy to change the sample text. After the layout first opens, you can highlight the text in the Design section and quickly change and format it without worrying about HTML code. For advanced users, the HTML section allows you to directly edit the HTML code behind the release to fine-tune your message. Plain Text based templates are even easier since there is no additional code to look at, only the text in your release. Send yourself a test release to make sure it comes across the way you want before sending it to your media contacts.
Q. Why can't I easily select all included media contacts to send my release to?
A. We absolutely do not suggest you send your release to everyone in the included media contact database. Many editors and writers may not be the right contact for your type of news. For example, if you send a business related release to sports editors, chances are they will consider this SPAM and possibly report your release as abuse. Make sure you select only relevant media contacts by using the Search options to target media near a specific city, state or zip, or keep the contact's title in mind when adding to your list. Following the previous example, if you have a sports related press release that is relevant on a national level, it is ok to do a search for all Sports editors and send your release to the entire results list.
Q. Can I send out my release to my media list at any time of the day?
A. When sending out a release to a large media mail list it is important to get it right. Most Internet providers don't allow you to just start sending out thousands of emails all at once at any time of the day; most have strict guidelines about how many emails can be sent in a certain amount of time, and what time of the day they can be sent. If your list is a hundred or less (and you brainstorm it will stay about this size), you probably don't have to worry too much. If your list is larger than a hundred, or you intend to do regular release deliveries, you should call your Internet provider about setting up a business account or find out what you need to do in order to comply with their bulk mail policy.
Q. How do I submit my news online for free?
A. Go to the Web Submission section and click the Edit button in the Free website group. You can then select as many of the included website as you want by checking the checkboxes next to each. Click the OK button to close this window and then click the Open button in the Free website group to open each selected website in its own tab. Create a free account on the website you want to submit to; this is generally a requirement in order to use these website at no charge. Many also offer optional paid services which improve the visibility and reach of your press release on the Internet.
If you use more than one website to submit your press release to, try using the same Username and Password for each one so you don't get confused later. Your Username and Password can be entered in PressRelease to serve as a quick visual reference when accessing your accounts on each website you use. Once you log on to your account, follow the instructions on the website to submit your release and get it posted (make sure you read their guidelines when adding information to each submission field, or your release may get rejected).
